What information we will keep

 

In order to process and manage your booking we will keep the following information:

Your name

Your address

Your email address

Your telephone number

Your payment information

Names of other guests in your party

 

On arrival you will be requested to complete a visitor registration form which will confirm these details and additionally will add information about your vehicle and if you are travelling from overseas your passport or ID card number.

 

The data controllers in this instance are The Gordon Guest House and Free to Book who provide our electronic diary and direct booking services.

 

Why we will keep it and how we will use your data

 

We will keep your information in order to manage your booking, deal with enquiries, facilitate payment of your bill, and to comply with any legal or statutory duties we have.

 

We may give the opportunity to opt-in to marketing from us and to provide feedback after your booking.  You may opt-out of this at any time by contacting us.

 

Who will have access

 

Access to your data will be restricted only to the owners of The Gordon Guest House and our staff who have undergone training in data protection.  Some aspects of your data may be visible to Free to Book staff who are our direct booking and electronic diary service provider.  If you use a booking agency they will store information about you.  Your payment information will be stored on a secure PCI level 1 payment system with Free to Book.

 

How long we will keep your data

 

We will keep your data only for so long as we need it.  This will be up to the time of your booking and for a reasonable time thereafter to allow us to encourage you to return to enjoy The Gordon and to meet any legal obligations we have regarding auditing and accounting.

 

Once we no longer require your data it will be permanently and securely destroyed.

 

Your rights

 

At any time you can request to see what information we hold about you.  You may ask for this information to be corrected or deleted at any time.  In the first instance please contact us at info@thegordonguesthouse.com
